# What to look for in a tool purchase record

Separate the charge, the delivery result and any unresolved follow-up when reviewing agent spend.

A useful purchase record helps someone who was not watching the agent understand what happened. Start with a few ordinary questions.

## What service was used?

Identify the tool and the provider, the time of use and the agent acting for the business. A description should be specific enough to distinguish one contribution from the wider project.

## What was charged?

Look for the currency, amount and the relationship to the agreed price. A funding transaction is separate from the charge for a tool. A refund or adjustment should remain connected to the original purchase.

## What was delivered?

Payment and delivery are separate facts. Check whether the service returned a usable result, failed, or remains uncertain. An uncertain result needs follow-up rather than a new purchase made on the assumption that nothing happened.

## What still needs attention?

Make unresolved delivery, recovery and adjustments visible. The business should know whether the agent can continue or whether someone needs to act.

## What belongs in accounting?
